Google Workspace Migration for a Global Financial Company
Seamless transition of email, calendar and files without Admin Console access
Client Background
Our client is a global financial company with operations across multiple continents and a growing presence in Australia. They manage complex financial data and rely heavily on cloud collaboration tools to keep their teams in sync. Until recently they used a global Google Workspace environment, but needed to establish a local Australian domain for their email, calendar and file storage. Their team size spanned several hundred users, and each team depended on uninterrupted access to historical emails, schedules and documents.
The Challenge
The main hurdle was that the client’s global IT team could not grant us access to the central Google Admin console. Without those permissions, a standard migration path was off the table. At the same time the customer needed to move from their global email domain to a local .com.au address to comply with regional governance and to improve brand recognition in Australia. They could not afford to lose a single email, appointment or file, nor could they tolerate any downtime during business hours.
In short, we faced three critical objectives:
Migrate all user mailboxes, calendars and Drive files from the global Google Workspace to the new Australian domain.
Achieve zero downtime so that staff could keep working without interruption.
Maintain full data integrity so that no historical records were lost or corrupted during the transfer.
Our Approach
We knew from the outset that a creative workaround would be required. With no Admin console access, we could not use native Google migration tools in a straightforward way. Instead we devised a two-fold strategy:
1. User-level authentication and selective extraction: We asked each user to authorise a temporary OAuth token through a secure portal we built. This let us migrate their mailbox, calendar and Drive data on a per-user basis without touching the global console. By working at the individual account level we effectively sidestepped the permission restrictions while keeping the process fully auditable.
2. Automated scripts and parallel processing: To meet the tight 1.5-week timeline we developed a set of custom scripts using Google’s APIs. These scripts pulled mailbox data, calendar events and Drive files in parallel for all users and pushed them into the new .com.au domain. We scheduled the scripts to run outside Australian business hours, so that all heavy lifting occurred overnight.
Throughout the process we maintained daily stand-up calls with the client’s IT team. This ensured that any emerging issues were flagged immediately and resolved before they could impact the migration schedule.
Results
The migration was a complete success, delivering the following outcomes:
Zero downtime: Users experienced no loss of service during business hours. They logged into their new .com.au accounts on Monday morning without missing a beat.
Complete data integrity: All mailbox messages, calendar events and Drive files arrived intact in the new environment. Our audit logs confirmed a 100 per cent transfer success rate.
Rapid execution: We completed the end-to-end migration in just ten business days, beating the client’s expectation of three weeks.
Enhanced local control: The client’s Australian IT team now has full Admin console access to manage users and security settings independently of the global domain.
Improved user satisfaction: Post-migration surveys showed that 98 per cent of staff were happy with the transition. They reported faster email loading times and more reliable access to shared files.
